Student Progress Report Card Generation – does your school still do it manually?

When it comes to school management, there are two faces to the complexity of how efficiently you manage your school, first how efficiently you manage school’s academic activities, secondly  how you can manage your administrative activities, within the available resources i.e, staff and teachers when your school is rapidly growing without overloading your teaching or non-teaching staff with unrelated tasks in their  day to day activities. This is one of the main problem that every school has to address at some point when you are growing.

In this blog post we will only focus on one of the main academic activity which involves teachers, parents and management, i.e., students performance evaluation, progress report generation and communication. Progress report generation is based on every student’s scholastic and co-scholastic evaluation. It involves two aspects, firstly teaches have to continuously monitor and evaluate their respective class students in both scholastic and co-scholastic (Part A and Part B subjects in case of State Board) areas by conducting regular tests and exams, which is inline with their primary responsibility of Teaching and evaluating students, as we all agree.

However, most of the time in reality, Teachers also have to spend their precious time preparing the progress report by hand doing all the calculation such as grades, percentages for each and every student which is very tedious and time consuming. When the messages are targeted and unique to every student and parent in the school, these online or offline sms softwares do not help and you have to manually type the message to each and every one separately. It  is as good as sending sms from your mobile phone. managing the mobile numbers, students class/section/grade details is very difficult in such software or services.

How fast the SMS’s are delivered from school erp ?

Typically in case of bulk sms services or service providers will have three kinds of delivery modes based on the speed with which the messages are delivered to the intended recipients i.e., marketing route – which will be very slow, it would take anywhere from 1 hour to 1 day. service route – which would take any where between 10miniutes to 6 hours approximately., and critical route – in which case the messages are delivered instantly without any delay in some cases it might take up to 30 minutes.

The limitations of bulk sms’s compared to messages sent from regular mobile phones -

In india as of september 26/09/2011 – you can send maximum of 100 sms per day from your mobile phone.

But bulk sms service has no such restrictions. you can send as many sms as possible. however, if you are sending marketing sms’s the message sent to NDNC ( National Do Not Call Registered mobile numbers) will not be delivered, as TRAI has strictly mandated every bulk sms provider to check the number and block if the number is registered in NDNC.

Also, the messages send after 9PM will be delivered next day, when the messages are non transactional.

Before we start introducing you to this feature. we would like to share few of the problems that is faced by the Schools and Educational institutions in communicating with parents / guardians.

The main problem in traditional approach of communicating with parents about their children is their reach ability. In traditional communication medium such as School Notice Board, Students Dairy  60 to 70% of the time the information may not reach the parents. They might be busy with their day to day activities and may not get sufficient time to look  into the dairy or visit the school to find out about their children progress due to urban life style, some times they might be traveling,  some children may be living in hostel or with their relatives. In such situations the required information takes more time than usual to reach the parents.  In today’s situations, its more important that the schools must be able to reach the parents anytime they want. Some of you might say that they can call the parents directly., but for the regular updates to parents on daily basis calling all the parents every time for the casual updates and information which has to be communicated to parents but it is not critical that they should be called in such cases telephone / mobile call would actually disturb or create unnecessary panic in the parents.

FET Free Time Table Software

There is always an urge to give more to our customers in terms of Service and product features.  In School Admin our School administration software, we have restricted our selves to core features such as Student Information, Fee Payment, Attendance, Marks Card generation, TC and Pre-Admission etc., along with SMS and Contact less cards for Employee Attendance and Payroll, these modules uniquely address the needs of Indian Schools and collages.

At some point we thought of implementing  Time Table Generation Module in our School Software. when we looked into what it takes to implement, we realised time table generation in itself a product and it would take much more time and resources to implement than what we have taken to build our school admin software.

But for many of our customers Time Table generation is one of the key feature and they did not want to invest money again for buying Time Table software. Also, they did not want to have multiple vendors for school software.

It was very difficult situation, we want our customers to be happy and get what they needed at the same time we did not wanted to reinvent the wheel, which is a mammoth task.  Hence, we started looking out for what is freely available in the internet which would suffice the needs of very small and medium schools at the same time should help Big Schools and Universities with thousands of Students also to be able to use the time table generation from a free time table software.

With in short time we were able to get what we needed – FET.

FET is open source free software for automatically scheduling the timetable of a school, high-school or university. It uses a fast and efficient timetabling algorithm. It is licensed under GNU GPL. Download

Though it looks very complex from the fist try. If you spend some time understanding it’s concepts and read and follow some of the FET tutorials, you can generate a neat time table for your Students and also for the Teachers with in minutes of configuration (auto generation might take hours based on your schools constraints such as teachers availability, time gap etc).

School Management – Is School Software realy required for our School?

Every School Admin or School Management at some point or the other feel the real need of using a School Software for their Schools. For most of the Schools in India managing the School using paper based ledgers and account books has been the tradition for many years.

In most of the Schools Teacher’s spend more than 40% of their time in a year on non-academic (not spending time with children) activities such as taking children attendance, preparing marks cards, calculating student grades, generating time table and preparing various reports at the end of every academic year since Schools have to submit these reports to  Education Board as per State/Central Government Education norms.

The Non teaching staff’s, Administrative people such as Cashier, Admin and accountants have many responsibilities, if  a management authority in a School goes to Cashier and ask’s them how much fee is collected till now for the day, he/she would take at least minimum 10 minutes to get the summary and calculations  even if they have a very efficient book keeping methods.

If management asks Admin about how many children have joined in Current year, how many are boys and girls? what about their cast and caste category? In most of the  Schools such reports are only prepared at the end of the academic year. There might be some exceptions, but even in schools where these details are available in their Student Registers, they may not get updated frequently.

If School Administration needs half yearly, Quarterly reports of Income and Expenses of School, it is an additional work on the Administrative staff.

When it comes to Fee Collection, Parent and Fee payment details management, every school has their own solution to tracking fee payments. If Parent claims that they have paid a Fee but they have lost the receipt, then Cashier has to dust all the receipt books to find out which was the receipt and when was the payment made. Some Schools address this problem by maintaining Student Fee Cards, which student has to bring every time when the Fee Payment has to be done. however this is again an overhead for both School and the parent. The biggest problem surfaces before the beginning of every academic year, fee structures have to redefined, new entries or books have to be created, student promotions have to be updated etc., etc.,

If we go on listing the issues and complexity in the existing paper based system, the problems are innumerable, however most of the Schools continue to operate in same traditional way how it used operate 5 years or 10 years before.

Many Schools may also complain or share their pain point that, they have tried School Software but it didn’t work for them, they did not get the proper Support or the company closed after few years for various reasons. Yes we know, this is what we hear when we approach Schools like yours, still all these things does not void the real need for School Software and how it can solve and provide the solution for complex processes in the Schools.
